Job Purpose:

The Operations Manager will oversee and ensure day to day efficient operation of the store.  The Operations Manager is responsible for maintaining inventory control, product pricing, staff performance and financial management in full accordance with internal and external policies and procedures.  In addition the incumbent in this position is responsible to promote positive guest relations through prompt, courteous, and efficient service.

Experience:

High School Diploma or G.E.D. required. Minimum of one year experience in a related position in the convenience or Smoke Shop areas.   Knowledge of window based computer applications and 10-key ability preferred.  Superior verbal/written skills and interaction skills will be needed to fully perform job function.  Attention to detail required for reading and interpreting documents such as operating and maintenance instructions, and procedure manuals.

Essential Job Functions and Responsibilities:

      • Monitor daily retail gasoline competitors and sending the prices to the corporate office in a timely manner as established by management.
      • Complete daily paperwork and computer entry in a timely manner as established by management.
      • Monitor cash over/short, inventory shrinkage, and drive offs daily.
      • Conduct store meetings as needed with employees. (A minimum of one monthly)
      • Have the physical ability to perform all duties of a store cashier regularly.
      • Understand all information in the daily reporting of store operations.
      • Follow and enforce all Kaw Nation Policies and Established Procedures in the store operations
      • Implement monthly promotions, insure all POS advertising/signage is properly posted at the proper time.
      • Communicate and perform all price change request, mark downs / ups as requested by the Operations Manager.
      • Communicate any problems with merchandise pricing to the Price Book Administrator.
      • Implement and enforce all merchandising and vendor policies and procedures.
      • Enforce all safety and security issues and report any and all unsafe conditions.
      • Conduct regular safety and security meeting and document with employees attending signatures.
      • Report and process all employee and/ or customer incidents or accidents following company procedure.

    Must complete SNAP/EBT training within 30 days of employment.

    KAW NATION POSITION DESCRIPTION – Part Time – Monday to Friday from 8-12.

    TITLE: Janitor

    IMMEDIATE SUPERVISOR: Human Resources Director

    CONTROLLING SUPERVISOR: Chief of Staff

    QUALIFICATIONS:

    Applicant must have a high school diploma or GED. Must have the ability to keep at least two (2) buildings clean and in an orderly manner. Lifting and bending may be involved on a continuous basis.

    RESPONSIBILITIES:

    1. Keep each area assigned to clean dusted, vacuumed, and trash emptied.

    2. Wash windows inside and out on a periodic schedule.

    3. Ensures that janitorial/housekeeping supplies are replenished.

    4. Clean and sanitize all bathrooms, keep paper towels and toilet tissue stocked.

    5. Mop and sweep tile floors and wax on an as needed basis.

    6. Water grass, trees, and flower beds during appropriate seasons and keep weeded.

    7. Clean air vents on an as needed basis.

    8. Vacuum all carpeted areas and treat any spots on the carpet.

    9. Keep parking lot policed of paper and debris, etc.

    10. Report any problem that should require knowledge of specific training to repair or correct to Immediate Supervisor.

    QUALIFICATIONS:

    Candidate must have a valid Driver License, CLEET Law Enforcement Certification, and BIA certification preferred.  Applicant will possess supervisory and management skills.  Experience in management and administration of Federal grants and other grant resources is preferred.     RESPONSIBILITIES:

    1. Assures compliance of all department members to the Law Enforcement Code of Ethics and Code of Conduct and other tribal policies and procedures.
    2. Prepares all statistical and administrative reports completely and accurately including:
      1. Dispatcher log
      2. Daily officer reports
      3. Case reports including arrests, investigations, and incident reports
      4. Juvenile records
      5. Personal arrests and disposition records

    10. Ensures that all incidents are reported to the proper agencies. (C.F.R. Court, F.B.I., O.S.B.I., etc…)
    11. Patrols Kaw Tribal Land (fee and trust), Kaw Indian Country, and Tribal Housing Area.
    12. Prepares work schedules for the Tribal Police Officers and work assignments when needed.
    13. Keeps accurate records in regard to Police Property (guns, uniforms, equipment, etc…)
    14. Ensures that the Tribal Police remain in constant compliance with the Law Enforcement Contract.
    15. Provide back-up services when requested to Newkirk City Police and Kay County Sheriff’s Department.
    16. Perform any other responsibilities related to Tribal Police as assigned by the immediate/controlling supervisor.

    • Performs duties assigned by patrol checklist including an examination of all doors, windows, and gates and reports any irregularities to the Police Supervisor.
    • Prepare complete and accurate reports with all of the facts.
    • Report any fire, theft, or other dangerous or irregular occurrences to his/her supervisor.
    • Record and report description(s) of person(s), license tag(s), and automobile(s) of unauthorized person(s) on property.
    • Record and submit an accurate log sheet at the end of the each shift, which in addition to regular duties and irregular occurrences, records temperature and weather conditions.
    • Testify in Tribal, Federal, and State courts when necessary.
    • Serve court documents such as arrests warrants, search warrants, summons, subpoenas, and civil papers.
    • Responds to request(s) for assistance on land under tribal jurisdiction.
    • Provide back-up services when requested to Newkirk City Police and Kay County Sheriff’s Department.

    This person must be at least 18 years of age, have a high school diploma or GED and two (2) years of satisfactory full-time experience in a child care setting.  Child Development Associate (CDA) or Certified Childcare Professional (CCP) or relevant training and experience are preferred.  Applicant must be willing to obtain his/her CDA/CCP.

    Must be able to pass a background check, accreditation (no felony convictions or misdemeanor convictions for offenses relating to children) and Drug test.  Must possess a valid Drivers License and be insurable.  Must be able to pass a physical examination.

    RESPONSIBILITIES:

    The School Age Coordinator will be responsible for maintaining a safe and nurturing learning environment for children placed into his/her care.  The School Age Coordinator must promote the Kanza Child Care Center (KCCC) in a positive way to parents and the community.

    Provide classroom management.  Maintain classroom record-keeping that may include attendance, meal counts, and daily/weekly progress reports to parents.  Develop and implement weekly lesson plans including learning and implementing the Kaw Nation Language into the center.  Maintain client confidentiality.  Attend local, state, regional and national child care meetings/training when deemed appropriate.  Responsible for keeping classroom clean.  Transport children to and from school, fieldtrips, etc.  Complete any other duties as assigned by the immediate or controlling supervisor.

    TITLE: GRANT WRITER

    IMMEDIATE SUPERVISOR: GRANT AND CONTRACTS DIRECTOR

    FULL-TIME

    QUALIFICATIONS:

    Educational requirements include a minimum of a Bachelors degree in Business, Sociology, or related field.  At least five (5) years of experience at the level required for the position may be substituted for educational requirements.  Must possess superior verbal and written communication skills and demonstrated technical writing abilities.  Candidate will have demonstrated superior planning process skills and abilities and have a familiarity of Systems Theory and applications.  Candidate will have verifiable success in grant and contract development skills for at least two (2) years with an ability to teach others.  Must have at least three (3) years exhibited familiarity with federal grant program organization, administration, control, and other management skills.  Must also demonstrate an understanding and capabilities in evaluation research and application.

    RESPONSIBILITIES:

    1. Perform the primary writing tasks on targeted grant requests and proposals.
    2. Technical writer for grant requests and proposals with assistance from program directors.
    3. Analyze all requirements presented in Request for Proposals (RFP’s) and/or grant applications, research appropriate data sources to develop and write effective proposals, requests written or verbal input from other experts when appropriate.
    4. Develop proposal schedules and outlines to identify all elements required in the proposal and the due dates for input.  Communicate this schedule to everyone responsible for the development , production, approval, and delivery of the proposal.
    5. Keep current on all pertinent Federal regulations to ensure compliance with proposal or grant requirements.  Work with appropriate departments to ensure applicable new policies are developed when necessary to meet new compliance requirements.
    6. When proposals are ready to submit to granting agencies, review the final write-up with appropriate in-house staff.
    7. Develop plans, strategies, and approaches to meet identified tribal community needs with ability to divide responsibilities between different persons while meeting overall time guidelines.
    8. Compile cultural, statistical, historical, and economic data for use in preparing proposals, documents, and correspondence.
    9. Provides technical assistance to program directors in preparing continuation funding or rewriting proposals and supplement requests.
    10. Assist Program Directors in developing surveys and conducting interviews within designated communities in order to establish detailed needs analysis.
    11. Researches federal, state, and other funding agencies regulations for funding sources and ensures that all grant and proposal applications are incompliance with those regulations.
    12. Assist in grant and contract monitoring in the areas of procedure development, documentation, and software spreadsheet development.
    13. Assist with/complete any other job duties that might be assigned by immediate/controlling supervisor.

    TITLE: IT Specialist

    IMMEDIATE SUPERVISOR: IT Director

    QUALIFICATIONS:

    Requires an Associates or computer background in related field. Must have experience in Windows applications, configuring and troubleshooting with software and hardware. Strong problem-solving skills. Excellent communication skills. Pro-active, self-starter requiring minimal supervision. Must possess excellent administrative assistant skills (i.e. computer functions, typing, filing, copying, fax, and telephone systems) Confidentiality is at all times a must.

    RESPONSIBILITIES:

    1. Installing and training of software applications.
    2. Installing, administering, and repairing hardware.
    3. Maintaining office equipment (i.e. copier, printers, fax machines, phone, etc…)
    4. Maintain security at all levels (employee, application, internet)
    5. Assists user to resolve computer-related problems such as inoperative hardware or software.
    6. Read technical journals and manuals and attend vendor seminars to learn about new computer hardware and software that will benefit the Nation.
    7. Install new / rebuild existing servers and configure hardware, peripherals, services, settings, directories, storage, etc. in accordance with standards and project/operational requirements.
    8. Evaluate the compatibility with existing systems, ease of use, and if software meets the needs of the program or department with the Nation.
    9. Develop and maintain installation, configuration, security/access and backup procedures
    10. Administer, support and troubleshoot software / hardware and overall network infrastructure including but not limited to: Windows 2003/2008, Exchange 2003/2010, Terminal Services, VMware, firewalls, routers, broadband connectivity, database servers, performance monitoring, back-ups, third party application support, etc.
    11. Create and upkeep network documentation including but not limited: network assessments, monthly maintenance plans, etc.
    12. Responsible for the installation, maintenance, and troubleshooting of all managed switches, routers, storage arrays, and servers with the position supervisor. Physically installs all new network equipment. Typically performs the initial installation and maintenance of all network-based software. Performs ongoing installations of new software and hardware and maintains existing Windows network.
    13. Be aware of departmental budgets for procurement objectives.
    14. Complete any other duties assigned by the immediate or controlling supervisor.

    KAW NATION POSITION DESCRIPTION

    TITLE: PHYSICIAN

    IMMEDIATE SUPERVISOR: HEALTH DIRECTOR

    CONTROLLING SUPERVISOR: CHAIR OF KAW NATION

    QUALIFICATIONS:

    Candidate will possess a Doctor of Medicine or Doctor of Osteopathic Medicine degree from an accredited medical school and be licensed as a physician in the State of Oklahoma by the Oklahoma State Board of Medical Licensure. Candidate will possess certification/license by the United States Department of Justice, Drug Enforcement Administration (DEA) and the Oklahoma State Bureau of Narcotics and Dangerous Drugs Control to prescribe and administer Schedule 2, 2N, 3, 3N, 4, and 5 narcotics.

    At least two (2) years’ experience in general/family practice is preferred.  Experience providing healthcare to Native Americans preferred.  Applicant may not have any unresolved malpractice suits pending against him/her and shall not have any unresolved complaints on file in any state where he/she has a license to practice medicine.  Experience with computerized medical records systems preferred.  Computer literacy required.

    RESPONSIBILITIES:

    Physician is assigned the following duties and responsibilities to be performed in collaboration with the medical team:

    1. Provide physician services to patients of the Kanza Health Center including physical examinations, perform and/or order diagnostic procedures, interpret and evaluate test results discriminating between normal and abnormal findings to identify the presence of disease and/or disability.
    2. Document all patient services and treatment plans in RPMS Electronic Health Records in a timely manner.
    3. Comply with all appropriate requirements for clinic quality assurance and certification.
    4. Identify, diagnose, and manage specific illnesses and disease processes.
    5. Perform minor in-patient procedures consistent with training, competency, and privileges. Oversee patient adherence to medical and nursing regimens for stable chronically ill patients and adjust treatment plans.
    6. Provide supervision for all ambulatory clinic nurses.
    7. Provide medical director services to all components of the Kaw Health System.
    8. Maintain Oklahoma licensure.
    9. Perform other duties, consistent with the position, as required or assigned by the immediate supervisor or controlling supervisor.

    All new hires will be required by the Kaw Nation (post hire) to submit to an employment drug screen.  Failure to pass the post hire drug screen will lead to withdrawal of the job offer or termination of employment.
