Sometimes when we are waiting on someone to start a job or just have a vacancy that needs to be filled for a short period of time we need someone to fill in the basic parts of the job.  The Kaw Members who depend on the services of the Kaw Nation sometimes have to wait for the permanent new hires and we want  our tribal members to start the process as soon as possible.

These positions will be short-term and temporary.  Pay rates, days and hours will vary based on the duties of the position.  All available members who would like to do these fill-in positions would have an interview to place them where they are best suited and comfortable working when needs arise.

KAW NATION POSITION DESCRIPTION

TITLE: School Age Coordinator

IMMEDIATE SUPERVISOR: CCDF Director

CONTROLLING SUPERVISOR: CHAIR

QUALIFICATIONS:

This person must be at least 18 years of age, have a high school diploma or GED and two (2) years of satisfactory full-time experience in a child care setting.  Child Development Associate (CDA) or Certified Childcare Professional (CCP) or relevant training and experience are preferred.  Applicant must be willing to obtain his/her CDA/CCP.

Must be able to pass a background check, accreditation (no felony convictions or misdemeanor convictions for offenses relating to children) and Drug test.  Must possess a valid Drivers License and be insurable.  Must be able to pass a physical examination.

RESPONSIBILITIES:

The School Age Coordinator will be responsible for maintaining a safe and nurturing learning environment for children placed into his/her care.  The School Age Coordinator must promote the Kanza Child Care Center (KCCC) in a positive way to parents and the community.

  1. Provide classroom management.
  2. Maintain classroom record-keeping that may include attendance, meal counts, and daily/weekly progress reports to parents.
  3. Develop and implement weekly lesson plans.
  4. Maintain client confidentiality.
  5. Attend local, state, regional and national child care meetings/training when deemed appropriate.
  6. Responsible for keeping classroom clean.
  7. Transport children to and from school, field trips, etc.
  8. Complete any other duties as assigned by the immediate or controlling supervisor.

KAW NATION POSITION DESCRIPTION

TITLE: HR ASSISTANT/BENEFITS COORDINATOR

IMMEDIATE SUPERVISOR: HUMAN RESOURCES DIRECTOR

CONTROLLING SUPERVISOR: CHIEF OF STAFF

STATUS: REGULAR/FULL TIME

LOCATION: KAW CITY, OK

QUALIFICATIONS:

An associated Degree in Management, Business, or related field and 1 year Employment Verification experience in Human Resources or a high school diploma/GED and Vocational training or trade school with a minimum of three (3) years’ experience in Human Resources. Knowledge of Human Resource concepts and employment laws is preferred. Experience may be subsisted for educational requirements.  Must possess a valid driver license and be insurable.

RESPONSIBILITIES:

  1. Assist the Human Resource Director with the day-to-day operations of the department.
  2. Responsible for establishing, organizing and maintaining files and documentation for the department.
  3. Process payroll for the Tribal Administration and Gaming Commission employees.
  4. Ensure employees’ accrued annual leave accruement is maintained properly.
  5. Assist in completing reports as required.
  6. Insure strict confidentiality of all personnel records.
  7. Complete timesheets for payroll processing ensuring all coordinating paperwork is submitted to payroll timely.
  8. Process all incoming/outgoing mail including mail records as needed.
  9. Serve as liaison between Kaw Nation and insurance benefit providers.
  10. Audit monthly employee insurance billing statements.
  11. Process insurance enrollment for eligible employees.
  12. Coordinate annual open enrollment processes.
  13. Ensure compliance with Kaw Nation employee policies and Federal employment laws including, but not limited to, COBRA, HIPPA, and FMLA.
  14. Prepare timely notification of performance evaluations due to Department Directors, Managers, and Supervisors.
  15. Assist HRD in performing background screening and new employee orientation, and in-house training sessions.
  16. Other duties as assigned by HRD, Chief of Staff or Tribal Chair.
  17. Conduct all Orientation and process all paperwork.
  18. Prepare all incoming Kaw Nation Application and background checks.
  19. Assist with any Worker’s Comp claims.
  20. Ensure all reports are filled out and processed with new hires or resignation names.
  21. Work with Emergency Manager on the Employee Emergency List.

KAW NATION POSITION DESCRIPTION 

TITLE: DRIVER/CUSTODIAN

IMMEDIATE SUPERVISOR:   TITLE VI DIRECTOR

CONTROLLING SUPERVISOR:   CHIEF OF STAFF

STATUS: REGULAR, FULL-TIME

LOCATION:   KAW CITY, OK

QUALIFICATIONS:

Requires a valid driver’s license, must be insurable and able to do light paperwork and lift up to 50 pounds.

RESPONSIBILITIES AND DUTIES:

  1.   Delivers meals to elderly individuals on our Homebound Meal program.
  2. Picks up food supplies and other needed supplies.
  3. Daily record keeping of mileage and Homebound meal participants.
  4. Performs cleaning services at assigned locations at the Tribal Headquarters.
  5. Daily record keeping of janitorial services provided.
  6. May perform other job duties as assigned.

KAW NATION POSITION DESCRIPTION

TITLE: DAY CARE COOK

IMMEDIATE SUPERVISOR: CCDF Director

CONTROLLING SUPERVISOR: CHIEF OF STAFF

STATUS: Regular, Full-Time

LOCATION: Newkirk, OK.

QUALIFICATIONS:

This person must be at least 18 years of age, have a high school diploma or GED.   Three years previous experience in a Day Care setting is preferred.  Health and Food Handers Certification is preferred or willingness to obtain the certification.  Knowledge of what constitutes a nutritious meal and the proper amount of food to make that will cover the USDA guidelines per age group.

Must be able to pass a background check, adjudication through the Kaw Nation Police Department and a pre-employment drug test.  Must possess a valid Driver’s License and be insurable.  Must be able to pass a physical examination.

RESPONSIBILITIES AND DUTIES:

  1. The Cook will pre-plan a cycle menu for breakfast, lunch and snack per timeframe designated by CCDF Director.  Responsible for preparing nutritional meals for Daycare children in accordance with USDA regulations.
  2. Prepares requisitions and inventory for food and other supplies needed to maintain appropriate stock for meals and snacks.
  3. Cleans all equipment, utensils and dishes in a manner necessary to meet or exceed Health and Sanitation standards.
  4. Assists in instruction program participants on nutritional needs and benefits of a balanced diet.
  5. Prepares meals in a timely manner and ensures nutrition and sanitation standards are met.
  6. Assists teacher in the development and implementation of creative and interesting nutritional and cooking experience for the day care children and staff.
  7. Assists with set-up and serving at lunch times and cleaning after meals in classrooms.
  8. Prepares sack lunches for field trips.
  9. Completes any other duties assigned by the CCDF Director or Administration.

 TITLE: RECEPTIONIST & TAG AGENT

QUALIFICATIONS:

 Must have a high school diploma/GED and Vocational secretaries training or trade school.  Must have proficiency in word processing, accounting systems preferred.  Requires demonstrated language and spelling skills and knowledge of efficient office procedures.  Experience in multi-phone line system with good communication skills and a postage machine is preferred.  Experience may be substituted for educational requirements.  Must have flexibility and the ability to work additional hours with short notice.

RESPONSIBILITIES:

  1. Answer phones, receive incoming mail, manage activity logs and complete any applicable reports.
  2. Order supplies for the Nation, fill supply request as needed, and complete monthly allocation of supply costs for the accounting department.
  3. Keep the supply closet neat and orderly.
  4. Manage all auto tag receipts, record transaction details, deposit or forward payments and keep accurate fiscal records.
  5. Examine vehicle title for accuracy and conformity to specified requirements.
  6. Provide great customer service in a friendly, courteous manner.
  7. Maintain knowledge of current Kaw Nation regulations as they relate to vehicle titles.
  8. Complete any other duties as assigned by the immediate/controlling supervisor.

TITLE: Clinical Applications Coordinator

QUALIFICATIONS:

Must have a Bachelor’s Degree in Business Administration or Public Health. Preferably 2 or more years’ experience in the information technology field. RESPONSIBILITIES AND DUTIES:

  1. To act as a specialist in support of the daily interface between clinicians/medical
    staff/dental staff and the electronic health record/electronic dental record.
  2. Assess information in existing RPMS (Resource Patient Management System)
    which includes generating error reports and updating for the maintenance of EHR.
  3. Analyzes and evaluates processes related to information flow and serves as the
    liaison between Area Office for implementation purposes.
  4. Develops and maintains policies and procedures for the integration of the electronic records system.
  5. Provides training and end-user support to clinical staff emphasizing timeliness, accuracy and the
    importance of security.
  6. Install and configure EHR modules on computer systems.
  7. Provide problem resolution with ongoing utilization.
  8. Promotes awareness of data validity and security and participates in efforts to correct deficiencies and errors.
  9. Ensure the quality of medical records by verifying their completeness, accuracy, and proper entry into computer systems.
  10. Submit required reporting to IHS Area Office and CMS on Meaningful Use, GPRA, and/or MACRA, as applicable.
  11. Maintain professional relationships with clients, staff, management, tribal departments and other external partners to enhance and promote the effective and efficient use of the clinical software package.
  12. Attend all trainings related to Electronic Health Records and related software packages and other training as identified.
  13. Complete any other duties assigned by the immediate/controlling supervisor.

TITLE: POLICE OFFICER

IMMEDIATE SUPERVISOR: CHIEF OF POLICE

QUALIFICATIONS:

Candidates must have a valid Driver License.  BIA and/or CLEET Law Enforcement Certification preferred.  Each officer should possess good communication skills and be in good physical condition.  Weekend and nights required.  Officers can not have a criminal background.

RESPONSIBILITIES:

  • Patrol Kaw Nation land, investigate, enforce, and cite or arrest violators of CFR, Tribal Law, and State and Federal laws and refer to proper authorities.
  • Makes assigned, periodic inspections and patrols of buildings and property.
  • Performs duties assigned by patrol checklist including an examination of all doors, windows, and gates and reports any irregularities to the Police Supervisor.
  • Prepare complete and accurate reports with all of the facts.
  • Report any fire, theft, or other dangerous or irregular occurrences to his/her supervisor.
  • Record and report description(s) of person(s), license tag(s), and automobile(s) of unauthorized person(s) on property.
  • Record and submit an accurate log sheet at the end of the each shift, which in addition to regular duties and irregular occurrences, records temperature and weather conditions.
  • Testify in Tribal, Federal, and State courts when necessary.
  • Serve court documents such as arrests warrants, search warrants, summons, subpoenas, and civil papers.
  • Responds to request(s) for assistance on land under tribal jurisdiction.
  • Provide back-up services when requested to Newkirk City Police and Kay County Sheriff’s Department.
  • Perform any other responsibilities related to Tribal Police as assigned by the immediate/controlling supervisor.

TITLE: GRANT WRITER

IMMEDIATE SUPERVISOR: GRANT AND CONTRACTS DIRECTOR

QUALIFICATIONS:

Educational requirements include a minimum of a Bachelors degree in Business, Sociology, or related field.  At least five (5) years of experience at the level required for the position may be substituted for educational requirements.  Must possess superior verbal and written communication skills and demonstrated technical writing abilities.  Candidate will have demonstrated superior planning process skills and abilities and have a familiarity of Systems Theory and applications.  Candidate will have verifiable success in grant and contract development skills for at least two (2) years with an ability to teach others.  Must have at least three (3) years exhibited familiarity with federal grant program organization, administration, control, and other management skills.  Must also demonstrate an understanding and capabilities in evaluation research and application.

RESPONSIBILITIES:

  1. Perform the primary writing tasks on targeted grant requests and proposals.
  2. Technical writer for grant requests and proposals with assistance from program directors.
  3. Analyze all requirements presented in Request for Proposals (RFP’s) and/or grant applications, research appropriate data sources to develop and write effective proposals, requests written or verbal input from other experts when appropriate.
  4. Develop proposal schedules and outlines to identify all elements required in the proposal and the due dates for input.  Communicate this schedule to everyone responsible for the development , production, approval, and delivery of the proposal.
  5. Keep current on all pertinent Federal regulations to ensure compliance with proposal or grant requirements.  Work with appropriate departments to ensure applicable new policies are developed when necessary to meet new compliance requirements.
  6. When proposals are ready to submit to granting agencies, review the final write-up with appropriate in-house staff.
  7. Develop plans, strategies, and approaches to meet identified tribal community needs with ability to divide responsibilities between different persons while meeting overall time guidelines.
  8. Compile cultural, statistical, historical, and economic data for use in preparing proposals, documents, and correspondence.
  9. Provides technical assistance to program directors in preparing continuation funding or rewriting proposals and supplement requests.
  10. Assist Program Directors in developing surveys and conducting interviews within designated communities in order to establish detailed needs analysis.
  11. Researches federal, state, and other funding agencies regulations for funding sources and ensures that all grant and proposal applications are incompliance with those regulations.
  12. Assist in grant and contract monitoring in the areas of procedure development, documentation, and software spreadsheet development.
  13. Assist with/complete any other job duties that might be assigned by immediate/controlling supervisor.

TITLE: PHYSICIAN

IMMEDIATE SUPERVISOR: HEALTH DIRECTOR

QUALIFICATIONS:

Candidate will possess a Doctor of Medicine or Doctor of Osteopathic Medicine degree from an accredited medical school and be licensed as a physician in the State of Oklahoma by the Oklahoma State Board of Medical Licensure. Candidate will possess certification/license by the United States Department of Justice, Drug Enforcement Administration (DEA) and the Oklahoma State Bureau of Narcotics and Dangerous Drugs Control to prescribe and administer Schedule 2, 2N, 3, 3N, 4, and 5 narcotics.

At least two (2) years’ experience in general/family practice is preferred.  Experience providing healthcare to Native Americans preferred.  Applicant may not have any unresolved malpractice suits pending against him/her and shall not have any unresolved complaints on file in any state where he/she has a license to practice medicine.  Experience with computerized medical records systems preferred.  Computer literacy required.

RESPONSIBILITIES:

Physician is assigned the following duties and responsibilities to be performed in collaboration with the medical team:

  1. Provide physician services to patients of the Kanza Health Center including physical examinations, perform and/or order diagnostic procedures, interpret and evaluate test results discriminating between normal and abnormal findings to identify the presence of disease and/or disability.
  2. Document all patient services and treatment plans in RPMS Electronic Health Records in a timely manner.
  3. Comply with all appropriate requirements for clinic quality assurance and certification.
  4. Identify, diagnose, and manage specific illnesses and disease processes.
  5. Perform minor in-patient procedures consistent with training, competency, and privileges. Oversee patient adherence to medical and nursing regimens for stable chronically ill patients and adjust treatment plans.
  6. Provide supervision for all ambulatory clinic nurses.
  7. Provide medical director services to all components of the Kaw Health System.
  8. Maintain Oklahoma licensure.
  9. Perform other duties, consistent with the position, as required or assigned by the immediate supervisor or controlling supervisor.
